Beginning March 4, 2024, Human Resources will be pulling in I-9 verification for all Student and Casual/Temporary employees.

Original documents are required for I-9 verification.

Short Term/Casual/Seasonal Hiring

The following information is an overview of the steps to hire a short term/casual/seasonal (temporary) employee.

Departments wishing to hire a temporary employee must follow the steps outlined below. No temporary employee is allowed to work until both the I-9 process and background check (if necessary) is completed. Temporary employees must provide original documentation for I-9 verification. No photocopies or pictures of original documents are accepted.

Short Term/Casual/Seasonal Hiring Process

  • Step 1: Department identifies the individual for employment.
  • Step 2: Department submits a Temporary Hiring Form via the HR Support Center portal to be assigned a ticket.
  • Step 3: 
    • New employees or former students:
      • HR responds to new employee, department coordinator, and supervisor with deadline for the employee to come in and complete I-9. 
      • HR collects I-9 and required documentation (*Original documentation required*).
        • Additional new hire paperwork will be included. The employee can complete this prior to coming in for I-9 verification or packets will be available.
      • HR sends background check link to be completed by the employee
        • *No background check required for minors
      • Once the I-9 and background check are complete, HR will notify the employee, department coordinator, and supervisor that the employee can begin working.
    • Rehires:
      • If there has been a break in employment of 9 months or more:
      • HR verifies employee status:
        • Active Students
        • Non-active students
          • New I-9 Required 
            • HR responds to employee, department coordinator, and supervisor with deadline for the employee to come in and complete I-9. 
            • HR collects I-9 and required documentation (*Original documentation required*).
            • Additional new hire paperwork will be included. The employee can complete this prior to coming in for I-9 verification or packets will be available.
          • Reverify I-9
            • Completed by HR
            • Additional paperwork may be included if break of employment is 9 months or more.
  • Step 4: HR notifies the employee, department, and supervisor that the temporary employee can begin working.
