Mail Processing for Departments

Our full-service facility is capable of processing department mailings ranging from individual letters to bulk mailings with thousands of recipients. Our team is knowledgeable about carrier regulations and will ensure you receive the best rates for single-piece, bulk-mail, and package shipments to domestic and international addresses.

On-campus/Interdepartmental Mail

  • Letters or small parcels for other campus departments must be placed in the green departmental mailbag for pick up.
  • Any envelope or label may be used.
  • If desired, interdepartmental envelopes can be requested from Mail Services.

First-Class Mail

  • Mail will be processed at the first-class rate unless otherwise requested.
  • Place outgoing mail in the green departmental mail bag provided by Mail Services.
    • Remove any inbound department mail prior to adding new outgoing mail.
    • Sort and bundle mail into the following groups:
      • Off-campus, stamped
      • Off-campus, postage needed (include your account index)
      • Foreign, postage needed (include your account index)
  • Packages, including those being sent via USPS, must have a completed Package Shipping Form affixed to the package at time of pick up.
  • If you wish to use postage stamps, you must use your department p-card to purchase stamps directly from a USPS facility and affix the postage prior to adding mail to your department mailbag or dropping mail at Mail Services. Mail Services is not responsible for mail that is returned to sender due to improper postage or address details.
  • Department mailings to lists of 500 deliverable addresses or more may qualify for a reduced first class postage rate by using the University permit. Contact Mail Services for more information.

Bulk Mail

University departments sending mail to lists of 200 names or more may qualify for nonprofit bulk rate using the University permit. In exchange for a slightly longer delivery timeline (generally 2-3 business days by the USPS), you receive significant postage savings.

  • Lists must have at least 200 deliverable addresses.
  • Recipients must have US addresses.
  • Envelopes and self-mailers (postcards, brochures, booklets, or newsletters) may be used.
  • Complete the Mail Processing Work Order no more than five days prior to your requested mailing date.

A variety of pre-printed University envelopes and shipping labels are available for purchase through the Print Services online storefront
