If Alumni Job address seems recent to the graduation date, then it is the best predictor of where the student went, if the diploma, mailing or alumni address differs from the Parents or home address, then the most recent might be a predictor of where the student went. Starting in 2007, the Life After MTU from was modified to capture the state where a student went for a job or more education, if any were reported and Banner was modified to capture this information directly.

Output: Name, ID, Degree Sought, Major Sought, Date D5 submitted to the Graduate School, or Date M4 Submitted to the Graduate School, Defense Date, Defense Acceptance Date (indicates student is completely done), Credits taken for input term, Expected graduation term, BCIS Term, Progress Term on Banner for all students with a non-blank BCIS term or Progress term

Usage: Internal. BCIS Term is the term that the advisor expects will be the student’s last. This allows the student to enroll for less than 9 credits but at least 1 credit and be considered a full-time student. Progress term allows supported students to drop below 9 credits and still be considered as making full-time progress. International office uses this list for INS purposes. Financial Aid uses the information for loan deferral. If BCIS term does not match expected grad term, student may have to back enroll to be full time in that term that was to be final term.

Output: Name and MTU and Off Campus e-mail addresses for all new students (with a M or P student type) for input term who have registered for a course .

Usage: Internal E-mails to contact new students

Tab 3 - Emails of Students Graduated and LEFT - Move Files

Input: Term Code YYYYMM (MM-month at start of term) AFTER the term of graduation (in this term, students get an “IG” record = graduated and gone)

Output: Name, E-mail Address, Student Status, Student Type Code, MTU ID for all students who graduated and left MTU (not returning for another degree next semester) in the term BEFORE the input term

Usage: Internal List is used to move files from active file drawers to graduated file drawers in the Graduate School. Students returning for another degree the following semester remain in the active files

Tab 4 - Emails Graduated - some may still be enrolled

Input: Current Term Code YYYYMM (MM-month at start of term) of Graduation (can be any graduation term, not necessarily current term)

Output: Name, MTU E-mail Address, Graduation Date for students who graduated in the input term

Usage: Internal E-mail addresses of graduated students but some may be continuing at MTU - can be used to e-mail students about diplomas or commencement

Tab 5 - Emails of Students Withdrawn,Quit,Inactive

Input: Current Term Code YYYYMM (MM-month at start of term)

Output: ID, Name, MTU E-mail Address. Student Status of all students who are inactive (status = IS), have withdrawn (Status starts with W) or quit (status = GQ) as of input term code (they had to be inactive starting in input term. They won’t show up on a list for the next term even though they may still be inactive that term)

Usage: Internal List used to move files from active file drawers to inactive file drawers or to the graduated/quit file drawers. WARNING – do NOT do this for summer term as students do not have to remain active in summer

Tab 6 - MTU and OFFC E-mails for New Students- Enrolled or Not Enrolled

Input: Current Term Code YYYYMM (MM-month at start of term)

Output: Name and MTU and Off Campus e-mail addresses for all new students (with a M or P student type) for input term without regard to if they have registered for a course .

Usage: Internal E-mails to contact new students – Asst Dean uses for early contact

Usage: The Registrar's Office runs this for sending to the printer to print the commencement booklet. Comment area indicates who ordered academic garb, if this student is participating via an early Commencement Application request, if this student is participating by deferring from a prior ceremony, etc..

Usage: Use when University Communications calls the Graduate School prior to the ceremony asking for counts for media reports

Usage: Graduate School sends commencement booklets to the Survey of Earned Doctorates (SED) along with a copy of this list to indicate when a student actually graduated or will graduate and so indicates when SED should have/will receive a completed survey from the student

Output: For each student who has said that they will attend the commencement ceremony – Degree, College, Major, Diploma Name, Peace Corps Indicator, Advisor Name, Advisor Attend Ceremony Indicator (Only for PhD Candidates), Advisor Alternate Name (Only for PhD Candidates whose advisor will not attend or who will be accompanied by advisor and co-advisor), Advisor E-mail Address, Student ID number, Student Name Pronunciation, Ceremony Comment, Student E-mail Address, MEng2 In Indicator, M4 In Indicator, D5 In Indicator

Usage: The Registrar's Office runs this for identifying who will be attending the commencement ceremony and who will accompany/hood PhD Candidates. Comment area indicates who ordered academic garb, if this student is participating via an early Commencement Application request, if this student is participating by deferring from a prior ceremony, etc..

Grad School uses this in addition to check that students have submitted a degree schedule (MEng2/M4/D5) if they are participating via an early Commencement Application request

SYSGRA024—Inactive/No Degree

Tab 1 - Inactive/No Degree

Input: Term Code YYYYMM (MM-month at start of term) for current or desired term and Major Code(s) in Caps, % All

Output: For all students who are still coded as seeking a degree but are Inactive in input term – ID, Name, Campus Code, Degree Status (SO=Sought), Major, Date Last Enrolled, Advisor Name, Advisor E-mail Address

Usage: Graduate School asks departments to run this and report back on each student, if possible, with an indication that the student has quit or plans to finish. Students who quit are so coded in Banner and their file folders are marked with the quit term as the term they first became inactive and the folders are moved to the appropriate file cabinet. Inactive students’ folders are moved from active files to appropriate file cabinet.

Tab 2 - Not Graduated with Defense Dates

Input: Term Code YYYYMM (MM-month at start of term) for current or desired term and Major Code(s) in Caps, % All

Output: For all students who are still coded as seeking a degree who have scheduled a defense but who have not submitted final paperwork – ID, Name, Campus Code, Degree Status (SO=Sought), Student Status (AS=Active, IS=Inactive), Degree, Major, Date Last Enrolled, Advisor Name, Advisor E-mail Address, Defense Application Date, Defense Accept Date (Blank), Commencement Term, Did/Will Attend Indicator, Student E-mail Address

Usage: Graduate School e-mails advisors of students who have not turned in final paperwork asking about status. Graduate School e-mails students indicating when the office will be NOT be staffed and NOT accepting final paperwork (on vacation, etc.). Graduate School looks at students who attended commencement but who have not turned in final paperwork to assess the early Commencement Application process.

Usage: Used by the Registrar's Office to mail commencement information to potential graduates/attendees

SYSOGRA02—Ceremony Labels–Will Attend

Input: Term Code YYYYMM (MM-month at start of term) for current term and enter Term Code YYYYMM of commencement ceremony term – these should be the same

Output: Names and Mailing Addresses for each student who has a commencement term (for a degree sought or awarded) equal to the input term and who has said they will attend

Usage: Used by the Registrar's Office to mail commencement photos to attendees after the ceremony. May not be used any longer.

SYSOGRA03—1st Tm MS/PhDs Graduation Information

Input: Term Code YYYYMM (MM-month at start of term) for selecting students who have an M or P (1 st time) record for the entry term

Student Status Term Code YYYYMM –choose from drop down menu, the term as of which you want to know the status of those students

Output: Index Number, Account Number, Earnings, Name, ID, Support Index for all indexes associated with a research proposal number from which graduate students have been paid

SYSOGRA06—Potential Comm List-Web Display

Output: Student Name, Attend Ceremony Flag displayed as Y,N or “Attendance Not Confirmed” if blank for each student who has an expected graduation date (either the one tied to the main student record or the one tied to a degree sequence of one of the specific degrees sought) or a commencement term (for a degree sought or awarded) equal to the input term.

Usage: Commencement Ceremony Process – Student Records and Registration displays this on the commencement web site

SYSOGRA07—PhD Not Active No D4 on File

Input: Term Code from drop down menu (select current term), and optionally department and major from drop down menus

Output: for PhD Seeking Students who are No Longer Active Who Don’t Have a D4 on File for the input term, ID, Name, Term Code and Major when started PhD; Term, Degree and Major of any other degree granted; for last Banner record Term Code, Status, Degree Sequence, Degree, Major, Option for MS if received/pursuing, or for PhD (always D-Dissertation)

Usage: Used by Assistant Dean to identify students for whom the Graduate School didn’t know the results of PhD Qualifying exams for those who left the PhD program.

SYSOGRA08—Vacation Term in the Current

Input: No Input Parameters

Output: Student ID & Name for all students in current semester who have non-traditional vacation

Usage: Internal

SYSOGRA09—Grad Advising/Committee Info

Input: Graduate Faculty ID number or % for all, (A)Advisor, (C)Committee or (B)Both

Output: For input faculty member or all graduate faculty members (depending on input parameter): Faculty ID, Faculty Name, Gender, Graduate Faculty Type, and IDs, Names, Gender, Faculty Role, Degree Sought/Awarded, Major Sought/Awarded, Student Current Status, Graduation Date of all students for whom the faculty is Advisor or Committee Member or Both (depending on input parameter and listed in Faculty Role). Note that the Status for most students will be IG and there will be a graduation date that indicates when the student finished that degree and left MTU. Students with "AS" and no graduation date are active in the current semester and still pursuing that degree. IS students with no grad date are inactive this semester but may still be pursuing the degree.

If there is a graduation date and the Status is something other than IG, then that student graduated with the degree listed but then planned on or started another degree which is not listed on that line and which they may or may not actually be pursuing. For instance if the Status is GQ then they quit that next degree, NE - applied/accepted but never enrolled in it.

If there is no graduation date and the Status is something other than AS or IS or GW then they left without getting the degree listed.

Some students who have an IS Status and no graduation date might have been in that status for a long while and they might not intend to finish the degree. Some are IS only because it is Summer and they don't need to be enrolled

Usage: Departments may use this for faculty vita update purposes.

SYSOGRA10—Grad Proficiency Tests

Input: Beginning Test Date (defaults to 01—JAN-1950), Ending Test Date (defaults to 31—DEC-2099), 5—Digit Department code (% for all)

Output: Student ID, Student Name, Advisor, D4 Date, D4 User, Program (major), Test Date, Test Description, Status (Passed/Failed/proVisionally passed), Attempt number for all graduate student proficiency tests taken by students in the input department between the input dates. Usage: The report generates a list of student who meet all of the folowing criteria:

  • Started their graduate degree in fall 2008 or later
  • Did not attend Graduate School orientation OR complete the online training

Students are reminded in their first and second semesters to complete the basic RCR course by either attending orientation or completing an online training course. In the second semester, if students do not complete the requirement, a hold is placed on their account. The column "GO Hold" shows which students have a hold on their account.

SYSOGRA35—Grad School Training Records

Usage: To e-mail students when diplomas are about to be sent to ask for address changes and to inform students of the proposed mailing date for sending diplomas.
