There are four steps for hiring a work-study student:
- Post the position on Handshake.
Be sure to select the Federal Work Study filter. - Interview student applicants.
Students may apply for more than one position. Please reach out to students to discuss hiring. - Complete the Federal Work-Study Hiring Form.
To notify the Financial Aid Office of your hired students, please complete this form to request Authorization for Federal Work Study Funding. The Financial Aid Office will verify students' eligibility and notify their supervisor of their authorization and payroll information. You may resubmit this form multiple times to include all hired students. - Submit an EPAF for the student's work-study position and have the student complete any necessary employment paperwork.
If you are hiring students during the middle of a semester, you can also reach out to workstudy@mtu.edu to check their work-study eligibility. Be sure to include the student’s M number in the email.
- If you already know the student is eligible for work-study, you just need to submit the EPAF for the student’s work-study position. All work-study position codes begin with a “W”. If you do not have a “W” position code, please reach out to workstudy@mtu.edu, and we will work with you and HRIS to get a position created.
- If you are unsure if the student is eligible for work-study, please email workstudy@mtu.edu to inquire. Be sure to include the student’s M number in the email.
To complete the EPAF for a work-study student, you will need the following:
- Student’s M number.
- Position code.
- Position start and end dates
- Hourly pay rate
- Index Allocation and Account Code
All work-study positions must start with a “W”.

- The minimum wage for the 2023-2024 academic year is $12.00/hour. Departments are able to set their own pay rate as long as it is at or above the minimum.
- The minimum wage for the 2024-2025 academic year has not yet been set.
- Work study index is E32722; at 75% allocation

- Students awarded work-study for the year (fall and spring semesters) can work from the beginning of classes in the fall to the last day of spring exams.
- Students awarded work-study for only one semester can only work during the semester for which they have been awarded - starting the first day of classes for that semester and ending the last day of exams for that semester. They cannot work between semesters.
- Work-study is not awarded during the summer semester.
- Work-study authorization dates for 2023-2024 are:
- Full academic year work: August 26, 2024 - April 25, 2025
- Fall only work: August 26, 2024 - December 13, 2024
- Spring only work: January 6, 2025 - April 25, 2025
*Students are not to be paid from the work study index outside of these authorized dates. A payroll reallocation will be required if they are.
Yes. Work-study students can be hired at any time during a semester, as long as they are eligible for work-study for the semester they are being hired.
